Creating a new contract for your hire


 

Once you have completed the interview and reference checks and decide you want to hire an applicant, you need to complete a Staff Appointment Form (SAF) which is a form on the intranet.

 

Before completing the SAF, ensure that you have the following information, on the New Employee: 

  • Proof of eligibility to work in New Zealand. (If the candidate requires a work visa - please allow approx. 4 weeks for the start date due to Immigration processing)
  • Proof of Legal Name (Passport or Birth certificate and Drivers Licence, and name change documentation/marriage licence (if applicable)
  • Professional Registration details (if applicable)
  • IRD number
  • VCA Interview questions and VCA reference check questions (if applicable), please allow 4 weeks for the start date due to police clearance.
  • Salary details for the employment contract (Salary must include level if appropriate, & step)
  • Personal details including date of birth and address, as per legal name documentation
  • Employee number if they are an existing employee
  • For Internal Transfers – details of the persons current job including leave entitlements
  • Taleo Requisition number (helps us ensure it is the right person for the right role)
  • Internal Transfers - if the staff member has a current work visa, it may be required that they have to amend their work visa, to enable for them to work in a new position, again if you are unsure, please contact the Global Mobility Consultant. You may have to allow approx. 4 weeks for the start date due to Immigration processing).

This is automatically sent to the Recruitment Centre and is entered into Taleo; You will receive an email to approval the details;It is important to check you the details are correct on the SAF as this information will go into the employee’s contract.

 *Note*

Once you have started to complete the form, make a note of the process number, shown at the top of each screen; this will enable you to view what you have entered prior to submitting the form to the Recruitment Centre.

You will receive an email asking for your approval of the details you entered into the SAF.

Please check that the details are correct as this will go directly into the contract!

TIPS:

  • Check that the first name is the legal name rather than the preferred name
  • The address is the one they are residing at presently.
